Standard (Bulk) Mail

1. To process Standard (Bulk) mailings, Mailing Services needs 3-5 working days. High quantities may require more time. Contact Mailing Services for required time.
2. Delivery standards for Standard (Bulk) mailings are 3-5 days within zip codes 150-154. Anything outside of the immediate Pittsburgh area may take up to 10 days.
3. All Standard (Bulk) mail pieces must be identical in size and weight.
4. Addresses need to be submitted electronically.
5. All Standard(Bulk) mailings must be at least 200 pieces or a combined weight of 50 pounds.
6. Departments must submit a Mailing Requisition--Mailing Services will not begin processing without a Mailing Requisition.


Campus Mail

1. Mailing Services sorts mail by department name, not by a person's name or room number. Failure to list the department name may result in delay or misdirection of your mail. An average of 8,500 pieces of mail are sorted per day. To meet delivery deadlines, mail sorting is done quickly by scanning the envelope for a specific department. Envelopes with no department are automatically put aside for later research.
2. Do not abbreviate. Many different employees and students sort mail and may not be familiar with department abbreviations.
3. If properly addressed, Intra-Campus Mail is delivered no later than the day after Mailing Services receives it.

International Mail

1. Please mark international mail by either stamping or writing "Airmail" on the piece.
2. International transit times are as follows: International Express --3 to 5 business days to major destinations, Priority Mail International -- 6 to 10 business days, and First Class Mail International -- delivery times vary by destination.
3. Delivery of international mail is subject to inspection by Customs; therefore, any posted transit time may be delayed due to Customs protocol.
4. International mail over one pound requires a customs form. Any dutiable item (anything other than loose printed matter) needs a customs form regardless of weight.


Addressing Mail to Canada

Canada refuses all mail that does not conform to the new addressing requirements.

NEW MANDATORY ADDRESS REQUIREMENTS FOR CANADA

1. Addressee full first and last name must be spelled out; using "Grandma" or "Uncle" is no longer acceptable.
2. Sender full first and last name must be spelled out; "Grandma", "Santa" or "Uncle" is no longer acceptable.
3. The complete address of the sender, including ZIP Code and country of origin, must be shown in the upper left hand corner of the address side of the package, envelope or card.
4. Addresses to recipients in Canada must be printed -- preferably in ink or typewritten -- using capital letters.
5. The last line of the address must show only the country name, written in full, and in capital letters.
6. When a Canadian postal delivery zone number is included in the address, mailing requirements allow that number appear as the last line of the address.
7. Complete and legible customs declarations, including complete sender and addressee information along with required import documentation, must be provided to specifically identify the contents of any package. General descriptions such as "gift" or "present" are no longer acceptable.


General Information

1. Use Duquesne University envelopes for all outgoing U.S. Mail.
2. Endorse envelopes that are larger than 6-1/8" X 11-1/2" with either "First-Class" or "Parcel Post", or "Media Mail" on the address side of the mail piece.
3. USE ZIP CODES ON ALL OUTGOING US MAIL.
4. Zip code information is available by calling the US Postal Service at 1-800-275-8777, or the United States Postal Service website at www.usps.gov.
5. Use Intra-Campus Envelopes instead of white Duquesne envelopes for all intra-campus mail.
6. Placing a rubber band around your mail helps Mailing Services to process out-going mail faster every day. Mail that is received bundled in this fashion is processed first! Make sure all your mail faces the same direction!
7. Separate your outgoing mail into these categories: stamped mail, intra-campus mail and mail to be metered.
8. Mail to be metered needs a barcode card placed on top and then rubber banded. The barcoded card(s) will be returned with your mail the next day.
9. Mail that requires special handling should be clearly marked--call Mailing Services to insure that your special needs mail is received and processed!
10. Mailing Services provides consultation for any department which has questions or problems concerning mail, expresses, or UPS. The manager is willing to meet with any department anytime to discuss ways to improve the department's mailings and help in finding ways to minimize postage costs. Please contact the Mailing Services manager at ext. 6192.


Ways to Save Money

1. Use postcards when possible.
2. Make sure your mail is machinable--rectangular, 3-1/2" to 6-1/8" by 5" to 11-1/2" and no more than 1/4" thick--to avoid a surcharge. One sheet of stationary put into a 9 x 12 envelope that weighs one ounce will be charged at a Flat Rate of $.83. That same piece folded into thirds and placed in a #10 Business Size envelope will be charged the Letter Rate of $.42; giving you a savings of $.41.
3. Save money by sending UPS for next day delivery.
4. Save money on Saturday express delivery by shipping via the US Postal Express--there is no additional charge for a Saturday delivery, while UPS charges an additional $12.50 per shipment.
5. Ask Mailing Services to help in the planning of your mailing before it is printed. The size of the piece and design can save your department additional postage!
6. Ship heavy packages via UPS instead of US Mail.
7. Don't wait until the last minute--plan ahead for efficient mailing!
